Contracts (web)

Overview

A Contract calculates charges for animals based on a daily Flat Rate and/or a Gain Rate (daily weight-gain rate).
This document outlines the following steps to create and report on Contracts:
  1. Setup up a New Contract: Define Flat Rate and/or Gain Rate, and other contract parameters.
  2. Link Sessions Onto Contract: Add a session of animals to the Contract.
  3. Link Sessions Off Contract: Mark a session of animals as finished on the Contract.
  4. Edit Linked Sessions and Reconcile the Contract: (Optional) Edit Shrink, Weighbridge Weight, Reconcile the Sessions and Reconcile the Contract.
The In and Out Weight of animals is based on their individual Session weight, but impacted by a Session Weighbridge Weight (if it exists) and Shrink (if it exists).

Setup up a New Contract

  1. To set up a new contract, select Contracts, +New Contract.

  2. Input the details of the new Contract and Save.

    The descriptions of the fields on the New Contract screen are as follows:
    1. Name: Input a name for the contract.
    2. Property: Select a property from the drop-down list.
    3. Owner: (Optional) Select the Owner of the livestock.
    4. Estimated Head: (Optional) Type in the number of head expected to be on the Contract.
    5. Flat Rate: (Optional) Amount charged per head, per day. (Input either Flat Rate and/or Gain Rate.)
    6. Gain Rate: (Optional) Amount charged per kg of weight gain. (Input either Gain Rate or Flat Rate.)
    7. Estimated ADG: (Optional) Input the Estimated Average Daily Gain (kg per head per day). The Contract Charges Report will use this value to calculate interim Gain charges for livestock still on contract. Leave blank to avoid interim Gain charges.
    8. Default Shrink In: (Optional) This is the default Shrink percentage applied to the Contract start weights of livestock. Enter the Shrink as a positive percentage. e.g., 3.5% shrink is entered as ‘3.5’. Note that the Shrink can be adjusted per linked Session.
    9. Default Shrink Out: (Optional) This is the default Shrink percentage applied to the Contract end weights of livestock. Enter the Shrink as a positive percentage. e.g., 3.5% shrink is entered as ‘3.5’. Note that the Shrink can be adjusted per linked Session.

Link Sessions Onto Contract

Linking animals to a Contract is completed by linking a whole session/s via Link Sessions Onto Contract.
If your Session contains animals that are not to be linked to this Contract, you will need to create a separate session containing only animals to link to this contract. If required, see Create New Session – Import CSV (web) or Create New Session – Bulk Session (web).
  1. From the Contract Details screen, select + Link Sessions, Link Sessions Onto Contract. The selected Session can be any session type, although it will typically be an Arrival Session. The start weights and start dates for individual livestock on the Contract will be calculated from the weights and date of this session.

  2. On the Link Sessions Onto Contract screen, select the appropriate Session/s, select Link x Session.

Link Sessions Off Contract

Marking animals as finished (or dead) on the Contract is completed by linking a whole session/s via Link Sessions Off Contract.
Even though the animals may have exited or died in StockMate, the pertinent Session must specifically be linked to the Contract. Additionally, even Handling Sessions would need to be linked to a Contract where an animal is ending its tenure on the contract. (For example: Inter-Property Exit Sessions.)
If your Session contains animals that are not finishing on this Contract, you will need to create a separate session containing only animals to link to this contract. If required, see Create New Session – Import CSV (web) or Create New Session – Bulk Session (web).
  1. From the Contract Details screen, select +Link Sessions, Link Sessions Off Contract. The selected Session can be any session type, although it will typically be an Exit (or Dead) Session. The end weights and end dates for individual livestock on the Contract will be calculated from the weights and date of this session.
  2. On the Link Sessions Off Contract screen, select the appropriate Session/s, select Link x Sessions.

Edit Linked Sessions and Reconcile the Contract

Linked Sessions can have their Shrink added/edited, their Weighbridge Weight applied or edited, and can be Reconciled.

Shrink

The Default Shrink In, nominated against the Contract at setup, will automatically apply to linked Onto Contract Sessions but can be modified per session. To do so, select Edit All, modify the Shrink value, Save.


Weighbridge Weight

The Weighbridge Weight can be added or edited via the Session Details screen, which can be accessed by selecting the Session Code on the Contract, then Session Details, Save.
 


Reconcile Linked Sessions

It is good practice to check and reconcile all linked Sessions, although it is not mandatory.  Sessions can be Reconciled within the separate Animals in Session screen, which can be accessed by selecting the Session Code on the Contract.


Reconcile the Contract

Once a Contract is Reconciled, the Contract Detail and linked Sessions cannot be modified, so the Contract Charges Report will not be modified.
Before a Contract can be closed in StockMate, all remaining animals in the contract need to be linked to an Off Contract session.
All linked Sessions must be Reconciled before a Contract can be Reconciled in StockMate.
  1. On the Contract Details screen, select Reconcile to reconcile the contract.
  2. If desired, follow the procedure in Contract Charges Report (web) to Run the Contract Charges Report for the month. The Head Counts table indicates that there are no animals remaining on the Contract at the end of the period.
