Session Templates (web)

Session Templates can be setup on the web. These will then be available for use on the Tablet in a Scan Session.
When setting up a Session Template, there are seven sections on the Session Template Setup screen: Animal Details, Treatments, DNA Documents, Follow-ups, Gates, Draft Rules and Services.

Enforce Session Template use

Administrators can select an option in Tenant Settings to Enforce Session Templates (if available) for certain session types and permission level.
When enforced, a session meeting the specified Session Type will require a Template to be selected upon session creation, when the user meets the permission requirements.
If there are no templates for the Property/Session Type, the session can still be created by following the process outlined below.

1. Select Administration, Tenant Settings and tick Enforce session templates.
2. Once ticked, the setting is expanded to further the criteria for enforcing. Multiple Sessions can be selected, and permission level selected will include that and any below. Select Save Changes.

Creating a Template

  1. Select Sessions, Templates.
  2. Select + New Template.

  3. Input Template name, select Property, select Type and Sub-Type, + Create Template.

    The Session Type and Sub Type in the drop down list are as follows:

Copying a Template

Session Templates can be copied from one property to another on the web only.
  1. When viewing Templates, select Copy Template, on the Template you would like to copy, this will open Copy Template modal.
  2.  Name of Template will default to name of copied template with (copy) - Rename to suit.
    Select Property to copy to, from dropdown and select Copy Template. Session Template Setup will open on copied template, changes can be made and saved.

When a template is copied:
The permission levels are maintained, i.e. Area Managers can only copy templates between Properties within their Management Area.
Any Yards or Gates associated with the template that is copied to another property, will be cleared. If the template is copied to the same property, Yards and Gates will be maintained.
Draft Rules will be maintained, however their destination will need to be updated by the user.

Setting up the Template

  1. Select to indicate which sections are included or excluded in the Session Template. Only included sections can be edited.

    One section at a time can be edited. On completion of each section, select Save, Done. The next section will then become available.

Animal Details

The Animal Details section is usually included in a Session Template as it includes identifying information about the animals in the Session (otherwise, only EID and Visual Tag will be visible).
  1. Select Edit to indicate which fields will be visible on the app scan screen.

  2. Tick the parameters to include in your Session Template. Select Save, Done.
    Select Visible, Default or Preset boxes for required fields.
  3. Visible: Tick to make field visible within the tablet Scan Session screen.
  4. Default: Tick, and select a Default. The default value will be applied to all animals added to the session, regardless of visible being selected for the field. 
  5. Presets: If a Preset List is selected, for each animal in the session, only those values will be available as buttons for selection against the pertinent field, for simplification.
  6. Mandatory: Only available for selection after making the field visible, tick Mandatory to enforce a value is applied against the field before successful save of Scan.

If a Default is selected, for each animal in the session, that field will initially be populated with the default to save time, but it can be modified.
E.g. If ‘Angus’ is the default Breed, Angus will be the selected Breed each time an animal is added to the session. The animal’s Breed can manually be changed to another Breed within the session.

If no preset list is defined, all values will be available against the pertinent field.
E.g. If ‘Angus’ and ‘Angus X’ are Breed Preset Lists, these two Breeds will be the only two Breed options, presented as buttons, within the session (regardless of whether a Default is selected). Non-preset options can be selected from the field dropdown, if required.

Once the Animal Details section has been setup, Administrators and Area Managers are able to lock the Animal Details section in the Session Template Setup.
This prevents Operators from being able to change the Animal Details section of Session Setup for individual sessions or session templates.
To lock the Animal Details Section, select Lock for Operators.
When locked, Operators will be unable to edit the Animal Details section of Session setup when the template is used to create a session.
Operators will receive extra warnings alerting them that they are unable to make changes.

Other cards in the session template setup will still be editable by Operators (Treatments, Follow-ups etc.) They will also still have access to all fields on the scan screen to allow data entry for outliers.

Treatments (optional)

  1. If Treatments are to be included in the Session Template, select  , Edit, +Add.
  2. Enter Treatment Item Details, Save.

    If Apply is ticked, the Item will be applied to all session animals by default (but can be deselected for specific animals within the session).
    If Apply is unticked, the Item will appear in the Scan Session, but will only be applied to animals if Apply is manually selected within the session.

    Refer to Setup Treatment Items (web & app) for detailed instructions on adding Treatments to the drop-down list. Refer to Setup Health Reasons (web & app) for instructions on setting up a list of Ailments.
  3. Select + Add and repeat step 2 to add additional Treatments. Select Save.
    InfoThe Batch No. associated with a treatment item is available from a drop-down list where the Treatment Item has been recorded as part of Inventory.

    Batch No. can also be entered as free text as required.

  4. Select Done when complete.

DNA Documents (optional)

  1. Select to make the DNA Documents visible for the Session on the App.
  2. Select the Laboratory and Type from the drop-down lists. These will then be set as defaults and will apply to all animals scanned into the Session.
    Animals imported into the session will be given the DNA Documents defaults if a Case Number is  provided in the CSV.

    Case Number is now a required field for DNA Documents.
    Refer to Create New Session – Import CSV (web) for instructions on setting up and importing a CSV file.

Follow-ups

  1. Select to include Follow-ups in the Session. Select Edit, +Add.
  2. Select a Follow-up reason from the drop-down list, select Follow-up Date, Save.
    InfoIf Apply is ticked, the Item will be applied to all session animals by default (but can be deselected for specific animals within the session).
    If Apply is unticked, the Item will appear in the Scan Session, but will only be applied to animals if Apply is manually selected within the session.

    The Follow-up reason cannot be empty if Follow-ups have been included in the Session Template.
    Refer to Follow-ups View and Report (web) for detailed instructions on adding Follow-up Reasons to the drop-down list.
  3. To enter addition follow-ups select + Add and repeat step 2.
  4. Select Done when complete.

Gates

  1. Select to include Gates in the Session Template.
    Gates are required for moving animals within a Session.
  2. Select Edit, +Add.
  3. Input Gate details, or select Yards, Save.

    Refer Setup Yards & Gates (web & app) to for detailed instructions on setting up Yards.
  4. Select + Add and repeat step 3 for additional Gates.
  5. Select Done when complete.

Draft Rules

Gates must be included in the Session Template, before Draft Rules can be setup.
  1. Select + Add to setup Draft Rules in the Template.
    Draft Rules will calculate the destination of animals in the session based on preset parameters of: Target Weight, Days on Feed, Property/Paddock, Mob, Gender, Breed, Class, Dentition, Body Condition Score, Has Active Follow-up, Is Flagged, Pregnancy, Lactating, Within WHP, Within ESI, HGP Treated, EU and LT.

  2.  Input a Draft Rule for each gate, Save.
    Notes about creating Draft Rules:
      1. One Draft Rule can consist of as many 'IF' parameters as required.
        1. E.g., "IF Target Weight = >350kg, and Gender = Cow, and Pregnancy = Empty, and Lactating = Dry, THEN Draft To Gate 1".
      2. Setup as many Rules as you require for the Session. E.g. subsequent Rules to the above could be:
        1. "IF Target Weight = >250kg, and Gender = Cow, and Pregnancy = Empty, THEN Draft To Gate 2".
        2. "IF Pregnancy = IN CALF, and Lactating = WET, THEN Draft To Gate 3".
    AlertInfoIf an animal meets the criteria for more than one Draft Rule (e.g. Rule 1 = >350kg, Rule 2 = >250kg, and animal is 400kg), the animal will be assigned the Gate for the first sequenced rule it qualifies for (i.e. Rule 1). Therefore, always put larger weights first in the Draft Rules. The Arrows can be used to change the order of the draft rules if required.

    AlertThere must be an ‘ELSE’ Rule set up.
  3. When all Draft Rules have been set up select Done.

Services

  1. Select  to include Services in the Session. Select Edit, +Add.

Using the Template

The Template will now be available on the web and the app. Refer to Create New Scan Session – Session Setup (app) article for details on accessing the Session Template and using it in a Session.
